This Privacy Policy describes how Mapan ("Mapan," "we," "us," or "our") collects, uses, and shares information about you when you use our customer feedback intelligence platform, websites, and related services (collectively, the "Services"). By using the Services, you agree to the practices described below.
1. Information We Collect
We collect information in three ways:
- Information you provide: account details (name, email, organization), survey content you create, billing information, and any messages you send to us at hello@mapan.xyz.
- Information from respondents: survey answers, ratings (CSAT, NPS, etc.), and any optional contact details respondents choose to share.
- Automatically collected information: device type, browser, IP address, approximate location, pages viewed, and interactions with the Services. We use cookies and similar technologies for authentication, analytics, and preference storage.
2. How We Use Information
- To provide, maintain, and improve the Services.
- To deliver surveys, generate analytics, and produce AI-powered insights for our customers.
- To authenticate users, prevent fraud, and secure the platform.
- To communicate with you about your account, updates, and support requests.
- To comply with legal obligations and enforce our terms.
3. AI and Automated Processing
Mapan uses machine learning models to analyze feedback and generate insights such as themes, sentiment, and recommendations. We do not use customer survey content to train third-party foundation models, and we do not sell your data.
4. Sharing of Information
We share information only as needed to operate the Services:
- With your organization: if you respond to a survey, your answers are shared with the customer who created it.
- Service providers: hosting, analytics, and email delivery vendors bound by confidentiality and data protection agreements.
- Legal compliance: when required by law, court order, or to protect rights, safety, or property.
- Business transfers: in connection with a merger, acquisition, or sale of assets, with notice to affected users.
We do not sell personal information.
5. Data Retention
We retain account information for as long as your account is active and for a reasonable period afterward to comply with legal and operational requirements. Survey responses are retained according to the configuration set by the account owner. You may request deletion at any time by emailing hello@mapan.xyz.
6. Security
We use industry-standard safeguards including TLS encryption in transit, encryption at rest, role-based access controls, and regular security reviews. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, contact hello@mapan.xyz. We will respond within the timeframes required by applicable law.
8. International Transfers
Mapan operates globally. Your information may be processed in countries other than the one in which you reside. Where required, we use appropriate transfer mechanisms such as standard contractual clauses.
9. Children
The Services are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with information, contact us and we will delete it.
10. Cookies and Tracking
We use strictly necessary cookies to keep you signed in and to remember preferences, and analytics cookies to understand product usage. You can control cookies through your browser settings; disabling some may affect functionality.
11. Changes to This Policy

These Terms of Service ("Terms") govern your access to and use of Mapan's customer feedback intelligence platform, websites, and related services (collectively, the "Services") provided by Mapan ("Mapan," "we," "us," or "our"). By accessing or using the Services, you agree to be bound by these Terms. If you do not agree, do not use the Services.
1. Eligibility and Accounts
You must be at least 16 years old and able to form a binding contract to use the Services. You are responsible for the accuracy of the information you provide, for safeguarding your credentials, and for all activity that occurs under your account. Notify us immediately at hello@mapan.xyz of any unauthorized use.
2. Use of the Services
Subject to these Terms, Mapan grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your internal business purposes. You agree not to:
- Reverse engineer, decompile, or attempt to extract the source code of the Services.
- Use the Services to send spam, malware, or unlawful, harassing, or deceptive content.
- Bypass rate limits, access controls, or security mechanisms.
- Resell, sublicense, or make the Services available to third parties outside your organization without authorization.
- Use the Services to violate any applicable law, regulation, or third-party right.
3. Customer Content
You retain all rights in the surveys, questions, branding, and feedback data you submit or collect through the Services ("Customer Content"). You grant Mapan a worldwide, royalty-free license to host, process, and display Customer Content solely as necessary to provide and improve the Services. You represent that you have all rights and consents needed to collect and use Customer Content, including consent from survey respondents where required by law.
4. Subscriptions, Fees, and Payment
Paid plans are billed in advance on a recurring basis (monthly or annually) according to the plan you select. Fees are non-refundable except as required by law or as expressly stated. We may change pricing with at least 30 days' notice; changes take effect at the start of your next billing cycle. Failure to pay may result in suspension or termination of your account.
5. Free Plans and Trials
We may offer free plans or trial periods. Mapan may modify or discontinue free plans at any time. Trials automatically convert to a paid plan at the end of the trial period unless cancelled before the trial ends.
6. AI Features
The Services include AI-generated insights, summaries, and recommendations. Outputs are probabilistic and may be incomplete or inaccurate. You are responsible for reviewing AI outputs before relying on them for business decisions. Mapan does not warrant the accuracy of AI outputs.
7. Acceptable Use and Compliance
You are responsible for your use of the Services and for ensuring that your collection and processing of feedback complies with applicable privacy, consumer protection, employment, and anti-spam laws. Mapan may suspend or terminate accounts that violate these Terms or pose a risk to the platform or other users.
8. Intellectual Property
The Services, including all software, designs, text, graphics, and trademarks, are owned by Mapan or its licensors and are protected by intellectual property laws. Except for the limited license granted in Section 2, these Terms do not transfer any intellectual property rights to you. Feedback you provide about the Services may be used by Mapan without restriction.
9. Third-Party Services
The Services may integrate with or link to third-party services. Mapan does not control and is not responsible for third-party services, and your use of them is governed by their own terms.
10. Termination
You may cancel your account at any time from within the Services or by contacting hello@mapan.xyz. Mapan may suspend or terminate your access for breach of these Terms, non-payment, or to comply with legal requirements. Upon termination, your right to use the Services ends, and we may delete your account data after a reasonable retention window. Sections that by their nature should survive termination will survive.
11. Disclaimers
The Services are provided "AS IS" and "AS AVAILABLE" without warranties of any kind, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, and non-infringement. Mapan does not warrant that the Services will be uninterrupted, error-free, or secure.
12. Limitation of Liability
To the maximum extent permitted by law, Mapan and its affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or goodwill, arising out of or related to your use of the Services. Mapan's total aggregate liability for any claim arising from these Terms or the Services will not exceed the greater of (a) the amount you paid Mapan in the twelve months preceding the claim, or (b) USD 100.
13. Indemnification
You agree to defend, indemnify, and hold harmless Mapan and its affiliates from any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising from your Customer Content, your use of the Services, or your breach of these Terms.
14. Changes to the Services or Terms
Mapan may modify or discontinue features at any time. We may update these Terms from time to time. Material changes will be communicated through the Services or by email. Continued use of the Services after the effective date constitutes acceptance of the updated Terms.
15. Governing Law and Disputes
These Terms are governed by the laws of the jurisdiction in which Mapan is established, without regard to conflict-of-laws principles. Disputes will be resolved in the courts of that jurisdiction unless local consumer protection laws provide otherwise.
